Start with an information inventory
A case file can contain medical history, account numbers, home addresses, witness contact details, and information about children or other third parties. A prompt rarely needs all of that. Before copying anything, identify the question you want answered and the smallest set of facts necessary to ask it.
Replace names with consistent labels such as “driver A” and “provider B.” Use a general location when an exact address adds nothing. Remove account identifiers, insurance member numbers, signatures, and unrelated medical details. Keep dates when they matter to the sequence, but do not ask a chatbot to calculate a legal deadline from a deliberately incomplete timeline.
Make a useful redacted example
Instead of uploading a complete billing statement, write: “A provider billed $1,200 for a visit on [date]. Insurance paid $700, an adjustment was $300, and the statement shows a $200 balance. I want to understand the arithmetic.” This preserves the accounting question without exposing the patient’s identifying information.
Check the redacted text yourself. Removing a name does not make a uniquely identifying story anonymous. A rare event, exact employer, and detailed location together may still identify someone.
Ask the service these questions
- Does the service store prompts or conversation history?
- Is an outside AI provider involved in processing them?
- Who can access stored information, and what deletion controls exist?
- Does the privacy explanation actually cover the feature you are using?
- Can you complete the task with fictional figures instead?
In AI Case Calculator, chat requests are processed using Gemini and saved conversations use the app’s database. Do not treat the chat as a confidential conversation with a lawyer. This guide does not promise that entering health information gives a consumer AI service the protections associated with a healthcare provider.
Keep the originals and verify the answer
HHS describes access rights for records held by covered providers and plans; obtaining your own copy is distinct from choosing to share it elsewhere. Store the original securely and work from a separate summary. Then verify any AI-generated legal information before acting. If a task needs genuinely confidential review, discuss a suitable communication channel with the lawyer handling your matter.
