Build a payment ledger
Use columns for benefit category, period covered, stated rate, amount expected under the notice, payment date, actual amount, and document reference. A deposit date may be different from the period the payment covers, so record both.
The California DWC benefit page shows that benefit calculations can depend on category and injury date. For other locations, start with the Department of Labor’s state agency directory and confirm the applicable rules rather than using California figures.
Reconcile periods before comparing totals
An invented example: a notice describes a weekly amount of $400, and an $800 deposit covers two weeks. Comparing the deposit with one week would create a false discrepancy. Conversely, two payments for different categories should not be combined without labels.
Record deductions, adjustments, and explanations exactly as the documents describe them. If the meaning is unclear, mark a question. Do not assume an unfamiliar code proves an underpayment or that a larger payment is money you may spend without clarification.
Keep wage and medical records connected
Maintain the wage calculation documents, work restrictions, return-to-work dates, and relevant notices. These may help explain a change, but do not infer the legal effect yourself from a single record. Ask the claims administrator or professional adviser for the basis of the decision.
Use a separate row for each corrected payment and identify which earlier entry it relates to. This preserves the history and prevents a revised total from hiding the original issue.
Raise a specific discrepancy
Describe the benefit period, the amount in the notice, the amount received, and the supporting references. Ask for an explanation or correction through the appropriate process. Keep the request date and response with the ledger.
If the issue involves a formal decision or deadline, promptly check the agency’s review requirements with qualified help. A personal payment log does not extend a response period or replace an appeal. Its value is that it turns an unclear concern into a concrete question another person can investigate without reconstructing months of deposits.
